Acceptable Use & Takedown
Last updated: 30 October 2026
The short version. A card should show real, professional contact details that its owner is happy to share. If a card is wrong, harmful or shouldn't be there, tell us and we will look into it quickly.
What belongs on a card
Real contact details for a real person, such as a name, job title, organisation, work phone and email, address, photo and links to professional profiles. The person, or their organisation, must have the right to share everything on the card.
What must not appear on a card
- Anything unlawful, or that encourages unlawful activity
- Details of another person who has not agreed to share them
- False or misleading information, or pretending to be someone else or another organisation
- Harassing, threatening, hateful, defamatory or sexually explicit material
- Content that infringes someone else's copyright, trademark or other rights
- Links to malware, scams, phishing pages or other harmful sites
- Anything that could harm children
What we may do
We may edit, suspend or remove a card, or a part of it, if we believe it breaks this policy or the law, or if the organisation that ordered it asks us to. Where we can, and where it is lawful, we will tell the organisation or cardholder why.
Report a card
If you think a card is inaccurate, harmful, or should not be online, email [email protected] with the subject "Report a WelcomePing card", and include:
- The link to the card
- What is wrong, and why you think so
- Your name and how to reach you
- If it is a rights issue, such as copyright or impersonation, proof that you are the rights holder or the person affected
We aim to review reports within 3 working days. If a card is clearly unlawful or puts someone at risk, we may take it down first and look into it afterwards.
Want your own details removed?
You can ask your organisation, or write to us directly using the email above. See our Data Protection Notice for your rights and how to complain.
Legal requests
If a court or authority has directed us to remove or provide something, please send the order to [email protected] and we will deal with it as the law requires.
